Description
Under supervision, to perform accounting clerical support for a limited variety of accounting and financial records and reports, which serve as primary data for a larger accounting operation.
NOTE: Candidates who meet the employment standards will be invited to take the Written Examination tentatively scheduled for the week of June 9th, 2025. The exam date(s) may change based on the number of applicants and room availability.
Typical Tasks
- The following are the duties performed by employees in this classification. However, employees may perform other related duties at an equivalent level. Each individual in the classification does not necessarily perform all duties listed.
- Posts, adjusts, and reconciles accounting entries to accounting worksheets;
- Operates financial management and/or accounting software and other computer systems or applications;
- Creates accounting worksheets;
- Verifies calculations on a variety of documents;
- Researches bill and payment history for completeness and accuracy;
- Independently bills departments or individuals for a variety of services, maintains accurate balances, and produces summaries, as required;
- Monitors computer data for completion of a transaction;
- Reconciles actual data to computer output;
- Prepares computer input from raw data;
- Reports to supervisor and/or manager when funds are about to be fully spent and seeks authorization for replenishment;
- Balances accounts for small units or projects;
- Counts and verifies daily deposits;
- Performs payroll functions, such as maintaining records of time worked, overtime, leaves, and absences;
- Researches, retrieves, and compiles statistical data using departmental software applications;
- Checks invoices against goods and services received;
- Contacts vendors to verify and/or obtain changes of name, remittance address, and/or tax identification numbers;
- Creates correspondence to departments, vendors, employees, and others, as directed;
- May be assigned as a Disaster Service Worker (DSW), as required*;
- Performs related work as required.
- Employment Standards
Education
Sufficient education, training, and experience to demonstrate the ability to perform the above tasks, plus the possession and direct application of the following knowledge and abilities:
Training and Experience Note: The required knowledge and abilities are attained through training and experience equivalent to the possession of a high school diploma,
and
One (1) year of work experience performing accounting clerical duties.
Twelve (12) semester units (fifteen (15) quarter units) in accounting and/or auditing may substitute for the required experience.
Special Requirements
As a condition of employment, pursuant to California Government Code Sections 3100-3109 and Local Ordinance, all County of Santa Clara employees are designated Disaster Service Workers. A DSW is required to complete all assigned Disaster Service Worker-related training, and in the event of an emergency, return to work as ordered.
Knowledge Of
- Basic office practices and procedures;
- General accounting and financial recordkeeping terminology and practices;
- Customer service principles, including effective communication and the handling of irate and distressed people;
- Common computer systems and applications;
- Business mathematics in order to perform calculations and create statistical reports.
Ability To
- Learn departmental billing, accounts receivable, and payroll functions;
- Understand software assisted accounting and billing procedures as they relate to the original data;
- Perform calculations rapidly and accurately;
- Establish and maintain effective working relationships with those contacted in the course of work, at all levels, including colleagues, the public, and representatives of other agencies;
- Communicate effectively, both orally and in writing;
- Operate standard office equipment, including 10-key, calculators, and computers, with speed and accuracy;
- In some positions, prepare complex forms and schedules.
